This Privacy Policy explains how Spanzia Supply Chain Solutions FZ-LLC ("Spanzia", "we", "us" or "our") collects, uses, shares and protects personal data when you visit www.spanzia-scs.com (the "Website") or use our services. Spanzia operates a verified warehouse marketplace that connects warehouse owners who list space with businesses seeking to find and rent it across the UAE and wider region.

We are committed to protecting your privacy and to handling your personal data lawfully, fairly and transparently in accordance with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the "PDPL") and its implementing regulations, together with other applicable data protection laws where relevant to you.

Please read this Policy carefully. By using the Website or submitting your information to us, you acknowledge that you have read and understood this Policy.

1. Who we are and how to contact us

Spanzia is the data controller responsible for your personal data. Our details are:

2. Scope of this Policy

This Policy applies to personal data we process about:

  • Visitors to our Website;
  • Warehouse owners and their representatives who list, or wish to list, storage space on our platform ("Listers");
  • Businesses and their representatives who search for, enquire about or rent warehouse space ("Seekers"); and
  • Prospective customers and contacts we engage with through our sales, marketing and outreach activities.

It does not apply to third-party websites or services that we link to but do not control (see Section 15).

3. Personal data we collect

We collect personal data that you provide to us directly, data generated automatically when you use the Website, and data we obtain from third parties and public sources. The categories are set out below.

3.1 Information you give us

Contact and enquiry data: when you complete a contact, enquiry or "get in touch" form, or contact us by email, phone or WhatsApp, your name, business/company name, job title, email address, phone number, the nature of your enquiry and any other information you choose to include.

Account and profile data: when you register as a Lister or Seeker, your name, business details, login credentials, contact information and communication preferences.

Listing and verification data: where you list warehouse space, property and listing details (location, size in sqft, facilities, availability, pricing) and verification documentation such as trade licence details, bonded/customs status, civil defence certification, ownership or tenancy evidence and proof of usable space. Some of this may identify individuals connected to a business.

Transaction and correspondence data: records of your enquiries, viewings, negotiations, agreements and the correspondence you exchange with us and, where facilitated through our platform, with the other party.

3.2 Information we collect automatically

Technical and usage data: your IP address, approximate location, browser type and version, device type and identifiers, operating system, referring pages, the pages you visit, time spent, and how you interact with the Website.

Cookies and similar technologies: we use cookies and comparable technologies (including analytics tools such as Google Analytics) to operate the Website, remember your preferences and understand usage. See Section 6 for details.

3.3 Information from third parties and public sources

Business and licensing data: we may enrich our records using publicly available and licensed sources (for example government open data such as economic-department licence registries, chamber of commerce directories, and professional networks) to identify and verify warehouse operators and business contacts.

Service providers: we may receive data from analytics, marketing, verification and communication providers who support our services.

4. How we use your personal data and our legal basis

Under the PDPL we may only process your personal data where we have a lawful basis to do so. In most cases we rely on your consent, the necessity of performing a contract with you (or taking steps at your request before entering into one), compliance with a legal obligation, or our legitimate business interests where these are not overridden by your rights. Where we rely on your consent, you may withdraw it at any time (see Section 8). Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

5. Marketing communications and WhatsApp outreach

As part of our outreach we may contact warehouse operators and business decision-makers by email, telephone, WhatsApp and professional networks to introduce Spanzia and relevant listings, and we maintain records of these interactions in our customer-relationship systems.

Where required by law we will obtain your consent before sending you marketing messages. You can opt out of marketing at any time by using the unsubscribe link in our emails, replying STOP to a WhatsApp or SMS message, or contacting us at our privacy email. We will action opt-out requests promptly. Note that we may still send you non-marketing service messages relating to an account or transaction.

WhatsApp messaging is provided by a third party; your use of WhatsApp is also subject to WhatsApp's own privacy terms.

6. Cookies and similar technologies

We use cookies and similar technologies to make the Website work, remember your preferences, measure performance and understand usage. The main categories are:

  • Strictly necessary cookies, required for the Website to function and to keep it secure. These cannot be switched off in our systems.
  • Performance and analytics cookies, such as Google Analytics, which help us understand how visitors use the Website so we can improve it.
  • Functional cookies, which remember choices you make to give you enhanced features.
  • Marketing cookies, which may be used to measure the effectiveness of our campaigns.

Where required, we will ask for your consent to non-essential cookies via a cookie banner when you first visit. You can manage or withdraw your preferences at any time through the banner or your browser settings. Disabling some cookies may affect how the Website functions.

7. How we share your personal data

We do not sell your personal data. We may share it with the following categories of recipients, in each case subject to appropriate safeguards and confidentiality obligations:

  • Other platform users, where you are a Lister or Seeker, we share the information reasonably necessary to facilitate an enquiry, match or transaction with the relevant counterparty.
  • Service providers and processors, including hosting, cloud, analytics, communication (email/WhatsApp/SMS), CRM, payment and verification providers who process data on our behalf under contract.
  • Professional advisers, such as lawyers, auditors, insurers and consultants.
  • Authorities and regulators, where we are required to disclose data to comply with the law, a court order, or a lawful request, or to protect our rights.
  • Business transfers, in connection with a merger, acquisition, financing or sale of assets, in which case data may be transferred to the relevant party subject to this Policy.

8. Your rights under the PDPL

Subject to the conditions and exemptions in the PDPL, you have the following rights in relation to your personal data:

  • Right to access, to be informed about and obtain a copy of the personal data we hold about you, the purposes of processing, and whether it is shared inside or outside the UAE.
  • Right to rectification, to have inaccurate or incomplete personal data corrected.
  • Right to erasure, to request deletion of your personal data in certain circumstances.
  • Right to restrict processing, to require us to limit how we use your data, for example while its accuracy is being verified.
  • Right to stop processing, to require us to stop processing your data for direct marketing or where processing is not compliant with the PDPL principles.
  • Right to data portability, to receive personal data you provided to us in a structured, commonly used and machine-readable format, where processing is based on consent or a contract and carried out by automated means.
  • Right to object to automated processing, to object to decisions based solely on automated processing, including profiling, that produce legal effects concerning you or similarly significantly affect you.
  • Right to withdraw consent, where we rely on consent, to withdraw it at any time.

To exercise any of these rights, contact us using the details in Section 1. We may need to verify your identity before responding. We will respond within the timeframes required by applicable law. There is normally no charge, although we may charge a reasonable fee or decline requests that are manifestly unfounded or excessive, as permitted by law.

If you are not satisfied with our response, you have the right to lodge a complaint with the UAE Data Office (the competent supervisory authority under the PDPL).

9. International data transfers

We are based in the UAE and process personal data here. Some of our service providers may store or process personal data outside the UAE. Where we transfer personal data across borders, we do so only in accordance with the PDPL, that is, to jurisdictions recognised as providing an adequate level of protection, or otherwise subject to appropriate safeguards (such as standard contractual clauses), your explicit consent, or another lawful transfer condition set out in the PDPL.

10. Data retention

We keep personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy any legal, accounting, verification or reporting requirements. To determine the appropriate retention period we consider the amount, nature and sensitivity of the data, the potential risk of harm from unauthorised use or disclosure, the purposes of processing, and applicable legal requirements. When data is no longer needed we will securely delete or anonymise it.

11. How we protect your data

We implement appropriate technical and organisational measures designed to protect personal data against unauthorised or unlawful processing, accidental loss, destruction or damage. These include access controls, encryption in transit where appropriate, and limiting access to those who need it. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

In the event of a personal data breach that presents a risk to your privacy or the security of your data, we will notify the UAE Data Office and, where required, affected individuals, in accordance with the PDPL.

12. Children's data

Our Website and services are intended for businesses and professionals and are not directed at children. We do not knowingly collect personal data from children (individuals below the age of 18 years). If you believe a child has provided us with personal data, please contact us and we will take steps to delete it.

13. Automated matching

Spanzia uses data-driven and AI-assisted tools to match warehouse space with business requirements. These tools are designed to support, not replace, human judgement, and our experts remain involved in the process. We do not make decisions producing legal or similarly significant effects about you based solely on automated processing without a lawful basis, and where such processing occurs you have the right to object as described in Section 8.

14. Third-party links

The Website may contain links to third-party websites, plug-ins and services that we do not operate or control. Clicking those links may allow third parties to collect data about you. We are not responsible for their privacy practices, and we encourage you to read their privacy notices.

15. Changes to this Policy

We may update this Policy from time to time to reflect changes in our practices, technology, legal requirements or other factors. When we make changes, we will revise the "Last updated" date at the top of this Policy and, where the changes are significant, take reasonable steps to notify you. We encourage you to review this Policy periodically.
